Never miss a patient enquiry: AI intake and bookings for clinics.

A Singapore clinic lives and dies by how fast it responds. A patient who messages at 9 PM, or while your receptionist is escorting someone to a room, is one tap away from a competitor. We build AI intake and booking systems for clinics so the first reply is instant, the booking is real, and your front desk is freed for the people standing in front of them.

The reality for a clinic

The enquiries that cost you the most are the ones no one is free to answer.

A front desk is asked to do too much at once. While the receptionist is on a call, checking a patient in, or walking someone to a room, the next enquiry (by phone, WhatsApp, or web form) waits. After hours and over weekends, enquiries wait longer, and a patient who is shopping around books the clinic that answered first.

Then there is the repetitive load that crowds out the human work: the same questions about opening hours, fees, and what to prepare for an appointment, asked dozens of times a week; reminder calls that get skipped when the desk is busy; intake details re-typed into a booking system that already asked for them once. None of it is hard. All of it is the difference between a clinic that feels responsive and one that feels stretched.

And the cost is rarely visible in any single missed message. It shows up at the end of the month, in a quieter calendar and a patient list that did not grow the way it should have. A clinic rarely knows it lost a booking; it only knows the booking never arrived. That invisibility is exactly why the problem persists: there is no single moment that demands fixing it, only an accumulation of enquiries that went somewhere else.

Where automation helps

An AI intake and booking agent on WhatsApp

The first reply becomes instant, on the channel patients already use. The agent answers the common questions from information you control, qualifies the enquiry, and moves it toward a booking, with a human confirming where confirmation matters. See AI chatbots & AI receptionist →

A patient pipeline that does not forget

Every enquiry, inbound or referral, enters one pipeline, is nurtured on a cadence, and surfaces the ones going quiet before they are lost. The clinic sees its patient flow at a glance instead of across inboxes and sticky notes. See CRM & sales systems →

Inbound capture that feeds the same flow

Web forms, WhatsApp, and phone enquiries all land in one place, so no channel is an orphan and no lead falls through because it arrived on the "wrong" one. See lead generation →

Common questions

Can an AI receptionist book into our clinic system?
If the system has a usable API, yes. We have built directly into Cliniko for a Singapore counselling practice: the agent reads real availability across therapists and locations, then writes the appointment back. For a system with no API, the agent can still take and qualify the enquiry, but a person completes the booking.
What happens if a patient is distressed or the enquiry is urgent?
It goes to a human immediately. On the counselling practice we built for, crisis language is caught by fixed rules that run before the model does anything, so the routing does not depend on the AI interpreting the message correctly. Any clinical judgement stays with your team.
Does this replace our front desk?
No. It covers the repetitive part: the enquiries that arrive after hours, the same questions about location, opening times and what to bring, the ones that would otherwise sit unanswered until morning. Your front desk still handles everything that needs a person.
Do Singapore advertising rules apply to clinic WhatsApp messages?
If you are a licensee under the Healthcare Services Act, the advertising rules are medium-agnostic: a WhatsApp broadcast is as much an advertisement as a poster. A one-to-one reply to an existing patient sits differently. The practical line the regulations draw is that anything you send must be accurate, factual and verifiable, and must not create unrealistic expectations of a result.
